What Your CRM Should Track Beyond Names, Emails and Deals

Most people set up a CRM and start by adding names, email addresses, and phone numbers. Then maybe a pipeline stage or two. And that’s where it stops.

It’s a reasonable start, but it leaves out some of the most valuable information your business holds. The kind of detail that makes the difference between a client feeling genuinely looked after and a client wondering if you remember them at all.

Where a lead came from

If you don’t know how a contact found you, you can’t know what’s working. Was it a Google search? A referral from an existing client? A post you shared on LinkedIn? A networking event?

Tracking lead source for every contact takes about ten seconds and over time gives you a clear picture of where your best clients come from. That tells you where to focus your marketing and where you might be wasting time and money.

Why deals were lost

When a quote doesn’t go ahead, it’s easy to just move on. But if you log the reason, even in a brief note, patterns emerge. Maybe you’re consistently losing to price at a certain project size. Key dates

Renewal dates. Contract end dates. The date someone said to follow up in three months. The date a client’s financial year ends, if that affects their buying decisions.

A good CRM will let you set reminders around these dates so they don’t rely on your memory. The follow-up that lands a week before a contract is up for renewal is almost always better received than the one that arrives after someone has already decided to go elsewhere.

Seasonal patterns

Some clients go quiet every August. Some have a predictable spike in business in the run-up to Christmas and need more from you in October. Some always push decisions to January.

If you track activity over time, these patterns start to show. You can plan around them, or reach out at the right moment rather than the wrong one.

How contacts prefer to communicate

Some people reply instantly to emails and ignore phone calls. Others are the opposite. Some prefer a quick message on WhatsApp once you’ve built a working relationship. Knowing this saves you time and avoids the frustration of chasing someone through the wrong channel.

A simple note in the contact record is enough. It doesn’t need to be complicated.

Setting your CRM up to capture the right things

None of this requires complex software or hours of configuration. Most CRMs let you add custom fields and notes in a few clicks. The discipline is deciding upfront what you want to track and making it part of your process from day one.
