Printers, Scanners, and Peripherals: Why They Cause So Many IT Headaches (and How to Avoid Them)

If there’s one IT topic that reliably produces a knowing sigh from almost every small business owner, it’s printers. Nothing seems to cause more frustration per hour of use than office printing. But printers aren’t alone, scanners, external monitors, docking stations, and other peripherals all have their moments. Here’s why these issues happen so often, and what you can do about it.

Why peripherals are disproportionately troublesome

Most peripherals, printers especially, rely on software called drivers to communicate with your computer. Drivers are written by the device manufacturer, they vary in quality, and they need to be compatible with your operating system.

When Windows updates, drivers sometimes break. When a device gets added to a different computer, the right driver might not be installed. When a printer is shared across a network, there’s a whole extra layer of potential for things to go wrong. None of this is particularly complicated to fix, but it does require knowing where to look.

Network printers specifically

A printer connected directly to one computer via USB is relatively simple. A network printer, one that everyone in the office connects to over Wi-Fi or your office network, is more capable but also more complex.

Network printers get their own IP address on your network. If that address changes (which can happen when a router is restarted or a lease expires), the connection breaks for everyone until it’s reconfigured. Setting your printer to a fixed IP address, what’s known as a static IP, prevents this and is a quick fix that saves a lot of recurring frustration.

Common peripheral problems and quick fixes

  • Printer not found: Check if the IP address has changed. Reassign a static IP to prevent it happening again.
  • Scanner not working after a Windows update: Check for an updated driver from the manufacturer’s website.
  • Monitor not detected: Try a different cable, check display settings, or update your graphics driver.
  • Docking station issues: These are often driver-related. Check for firmware updates from the manufacturer.
  • Devices working on one computer but not another: Usually a driver installation issue on the second machine.

The case for getting peripherals set up properly from the start

A lot of peripheral headaches come from devices that were set up quickly without the right configuration. Taking a bit more time at the start, setting static IP addresses, installing the right drivers, testing everything properly, saves a lot of time later.
