Buying a laptop for your business sounds straightforward until you’re staring at a wall of options with no obvious way to tell them apart. Windows or Mac? How much RAM is enough? Is a budget device a false economy? Here’s what you actually need to know.
Windows or Mac, which works better for small businesses?
For most small businesses, Windows is the practical choice. There’s a wider range of price points, it works seamlessly with most business software, and it’s easier to manage across a team.
Macs are excellent machines, particularly popular in creative industries, but they come at a premium. If your team is already settled on Mac and it’s working well, there’s no pressing reason to switch. If you’re setting up fresh, Windows typically gives you more flexibility for your budget.
The specs that actually matter
You don’t need to become a hardware expert, but a few things are worth getting right.
- RAM: Go for 16GB as a minimum on any new device. 8GB struggles with everyday tasks in 2026.
- Storage: A 512GB SSD gives you comfortable room. Avoid older spinning hard drives entirely.
- Processor: A modern Intel Core i5/i7 or AMD Ryzen 5/7 will handle most business workloads well.
- Battery life: Aim for 8+ hours of real-world use if your team works away from a desk.
- Screen size: 13 to 15 inches is the sweet spot for most people. Bigger is harder to carry; smaller gets tiring for all-day use.
What to steer clear of
Very cheap laptops are tempting, but if they slow your team down or fail within 18 months, they cost more in the long run. Look for business-grade models from brands with a solid reputation, Lenovo ThinkPad, Dell Latitude, and HP EliteBook are consistently reliable.
Avoid anything with 4GB of RAM, and be cautious of eMMC storage (common in budget devices) which is noticeably slower than a proper SSD.
Getting set up properly matters as much as the hardware
A good laptop with a poor setup is still a security risk. Getting devices configured correctly from the start, right software, right security settings, right user accounts, is just as important as choosing the right spec.
