Connecting Your CRM to the Rest of Your Business

A CRM on its own is useful. A CRM that talks to the rest of your tools is something else entirely.

When your CRM sits in isolation, updating it becomes another manual job. You take a call, you log the call. You send a quote, you update the deal. Someone fills in your website form, you create the contact. It works, but it relies on you remembering to do all of it, and that’s exactly the kind of admin that gets missed when you’re busy.

Connect your CRM to your other tools, and a lot of that updating starts happening automatically.

When someone enquires through your website

This is usually the first connection worth setting up. When a prospect fills in your contact form, a new contact and deal can be created in your CRM automatically. The lead source gets recorded. A follow-up task gets assigned. You get a notification.

By the time you pick up your phone to call them, everything is already logged and ready. You’re not scrambling to find out who they are or where the enquiry came from.

When a deal is won

This is where automation starts to save real time. When you mark a deal as won in your CRM, you can trigger a whole sequence of things. A welcome email goes out to the new client. A task is created for your onboarding checklist. If you use accounting software, a draft invoice can be created. If you use a project tool, a new project can appear automatically.

Instead of doing five things manually every time you win a piece of work, you do one thing in one place and the rest follows.

Keeping your email connected

Most good CRMs will link to your email so that messages sent and received from a contact are automatically logged against their record. You don’t have to remember to copy anything across. When you open a contact, the full conversation history is there.

This is particularly useful if more than one person in your business deals with clients. Everyone can see exactly what’s been said, without needing to ask.

Connecting to your email marketing

If you send newsletters, follow-up sequences, or any kind of regular email to clients or prospects, connecting your CRM to your email marketing tool means your lists stay accurate without manual exports. A new client gets added to the right list automatically. A contact who converts from prospect to client gets moved to the right segment without you touching anything.

It also means you can trigger email sequences based on what’s happening in your pipeline. A prospect who has been sent a quote but hasn’t responded in five days can receive a gentle follow-up automatically, without you having to remember to send it. We’ve written more about this in our post on 5 ways to automate your CRM and streamline your workflows.

How we approach this for clients

Getting these connections working properly doesn’t require you to be technical. Tools like Make.com allow us to build the integrations between your CRM and your other software, and we handle all of that as part of our process automation service.

The typical starting point is a conversation about what your current process looks like, where the friction is, and what you’d like to happen automatically. From there, we design the connections and build them out.

Most clients are surprised by how much can be automated without anything getting complicated. The goal is always to reduce the number of things that rely on you remembering to do them, so you can focus on the work itself.
